Event rules & conditions
Sample template · Last updated October 6, 2026
This is a sample Event Rules template. A club copies it for each tournament, replaces every [BRACKETED] item, and deletes sections that do not apply. Live event rules are published by the organizing club. ParMutuel provides the software; it does not run the pools. Counsel and compliance are the club's responsibility — have counsel review these rules before running an event in your jurisdiction.

These Event Rules cover every pool this club runs for this event on ParMutuel. By accepting the house rules at signup (and, when required, the platform Terms of Service), you agree to these conditions. If anything here conflicts with the club's published house rules for the same event, [which document wins — typically: these Event Rules for pools; club house rules for play] controls for pool purposes.
1. What this is (and isn't)
1.1. ParMutuel is software that helps this club run pari-mutuel-style credit pools among members for this event. It is not a bank, payment processor, or casino.
1.2. Credits have no cash value through ParMutuel. Credits are an organizer-issued record of participation in this club's pools. Any cash settlement between you and the club happens offline, outside the platform, under the club's chosen methods (see §3).
1.3. The club owns legality for this event in its jurisdiction. ParMutuel charges the club a flat software fee. It does not take a cut of the pool — takeout belongs to the organization (see §4).
1.4. Age. You must be at least [18 / 21 — set to org min_age] years old to participate. Age is collected at join. Misrepresentation may result in voided tickets and exclusion.
2. Pools — when they open, when they close, and how tickets work
2.1. Each pool shows its own open and close times in the app. No new tickets after close. Pending unpaid lines may be cancelled at close if payment was never collected (pay-at-table / either funding modes).
2.2. Pool prices and settlement are based on credits in the pool (volume), not ticket count. Displayed prices can move until the pool closes as more tickets are issued. [Optional: The club may also show a “popularity” (ticket count) metric; that metric is for interest only and does not determine how winning credits are settled.]
2.3. Own-team / own-player tickets. [Allowed / Not allowed / Allowed except for … — set via club policy / admin_wagering_allowed]. If allowed, you are responsible for any conflict-of-interest rules your club or handicap committee imposes.
2.4. Side games. If this event uses separate credit wallets for side games, credits in one wallet are not automatically usable in another unless the organizer says otherwise. [Wallet mode: separate / shared]
2.5. Scratch / field changes. If a player or team is scratched or the field changes before settlement, the organizer will handle affected tickets per §6 (void / cancel / re-map). Any credit refunds go to your club wallet, not as platform cash.
3. Credits — how you get them (ParMutuel never holds your money)
3.1. ParMutuel never processes or holds member-to-club payment for credits. The organizer issues credits in the admin tools after you settle with the club.
3.2. Methods this event accepts (organizer toggles; edit per event):
| Method | Accepted? | Instructions / handle |
|---|---|---|
| Cash | Always yes | Pay at the credit desk / starter table · ask for [STAFF ROLE] |
| Zelle | [Yes / No] | [HANDLE / PHONE / MEMO FORMAT] |
| Venmo | [Yes / No] | [HANDLE] |
| Check | [Yes / No] | Payable to [NAME] |
| Other | [Yes / No] | [DETAIL] |
3.3. Funding modes for this event: [prepaid only / pay at table / either].
- Prepaid: Load credits on your wallet before you place tickets.
- Pay at table: You may place a line that stays pending until staff collects payment and issues the ticket (
collect_and_issue). A payment reference (for example a short code) may appear on your slip — bring that to the desk. Pending unpaid lines can be cancelled when the pool closes. - Either: Both paths are available; follow the on-screen prompts.
3.4. Keep your payment confirmation (Venmo or Zelle screenshot, cash receipt, ref code). Table staff look up members by name, phone, or payment ref.
3.5. Redemption of winning or leftover credits is only through the club, under rules the organizer posts for this event (timing, location, ID). ParMutuel does not pay you out.
4. Takeout and the pool
4.1. Takeout (the organization's fee from the pool) belongs to [CLUB / ORGANIZATION NAME], not to ParMutuel. The takeout rate for each pool is shown in the app before you confirm a ticket. [Optional: state the event-wide default takeout % here.]
4.2. After takeout, the remaining pool is distributed to winning tickets according to the pool's posted rules (pari-mutuel settlement).
5. Results and settlement (Golf Genius)
5.1. Official results for settlement come from Golf Genius (or a club-uploaded / manual result if Golf Genius is unavailable), as confirmed by the organizer in ParMutuel.
5.2. Before confirming, the organizer previews settlement. Unmatched names or incomplete results can delay confirmation. Contact the organizer, not platform support, for scoring disputes about play.
5.3. After confirmation, winning credits are posted to wallets and ticket and result notices go out by SMS and/or email. Delivery can be delayed by carriers. The club can see delivery status in the admin tools.
5.4. Corrected results. If Golf Genius or the committee corrects a score after settlement, the organizer may run a correction: prior settlement can be reversed and re-run, and you may be re-notified. Your displayed balance and ticket status can change. See §7 for disputes.
6. Cancel, void, and unpaid lines
6.1. You (the member) may cancel a ticket only while it is still pending (for example an unpaid pay-at-table line), subject to the app's controls and pool status.
6.2. Issued tickets may be voided only by the organizer (for example a scratch, eligibility, an obvious error, or a responsible-play action). Voided tickets return credits to the wallet per the void rules in the product. They do not create a cash refund from ParMutuel.
6.3. The organizer may cancel unpaid pending lines at pool close.
6.4. Abuse, multi-accounting, or age misrepresentation may result in voided tickets and self-exclusion or removal from the organization.
7. Eligibility, responsible play, and disputes
7.1. Eligibility. You must be an invited member of this organization (or otherwise authorized by the organizer), meet the age gate, and not be self-excluded. Additional event rules: [HANDICAP / MEMBERSHIP / GUEST POLICY].
7.2. Responsible play. The organization may set exposure limits. You may set a self-exclusion flag in Settings; when set, you cannot place new tickets. Text STOP to opt out of SMS marketing and operations texts where applicable. Mandatory transactional messages (for example ticket confirmation and results) may still be required by the club's use of the product — ask the organizer if you need a full communications opt-out.
7.3. Disputes about pools, credits, payment collection, voids, or settlement go first, and finally for club purposes, to the organizer listed above. Platform support (support@parmutuel.com) handles product outages, login and SMS delivery failures, and software bugs — not who won a hole, and not whether cash was received at the table.
7.4. Suggested dispute window. Raise scoring or settlement concerns with the organizer within [24 / 48 / 72 hours] of the result notification (or before the awards ceremony, whichever is earlier), unless the club posts a different window.
8. Tickets, notifications, and records
8.1. After issuance, you should receive a ticket confirmation by SMS and email (when those channels are configured). You can also view tickets and your ledger in the app. [Optional: QR on screen is the default ticket; paper/thermal print is [not offered / club-provided].]
8.2. You may export your own ledger and tickets as CSV from the product where that feature is enabled.
8.3. SMS short codes and keywords when enabled: STOP, START, BAL, TIX, HELP. Responses depend on the carrier and configuration. If a one-time passcode or invite text never arrives, contact the organizer and, for platform delivery failures, support@parmutuel.com.
9. Privacy and your data
9.1. The club and the platform process account, ticket, pool, and notification data as described in the Privacy Policy. A CCPA-style export is available in Settings where enabled. Deletion may require a request to the organizer and to the platform, as described in that policy.
9.2. Do not share your login one-time passcode or magic link. The club will never ask you for your bank password. Staff only need payment confirmation and your member identity.
10. Changes to these rules
10.1. The organizer may update these Event Rules before pools open. Material changes after you have open tickets should be communicated by the club ([SMS / email / starter board]). Continued participation after notice may be treated as acceptance under club policy.
10.2. The platform Terms of Service, Privacy Policy, and SMS terms also apply to use of the software when they are in effect.
